Privacy Notice
We keep only what we need, use it only for the purpose you gave it to us, and make it easy to leave.
What we collect
When you join The Field from a VAREN page, we collect:
- Your email address, exactly as you submitted it.
- The page, form, or campaign you joined from.
- The consent language shown to you, captured verbatim with the date and time, so we have a record of what you agreed to.
- A security record used to help prevent spam, bot activity, and abusive submissions. We do not store your raw IP address in the signup record. We keep a one-way hash instead, salted with a server-side secret.
- Basic technical information your browser sends as part of normal web traffic, such as browser type and user agent. Truncated to 500 characters.
We do not ask for your name, phone number, mailing address, payment information, or account credentials when you join The Field. We do not use Google Analytics, Meta Pixel, advertising pixels, or third-party behavioral ad tracking on this site.
Why we collect it
We collect this information to:
- Confirm your signup.
- Send VAREN launch updates, product dispatches, and related brand communications. Only when there is something worth saying.
- Keep a record of the consent you gave us.
- Prevent spam, abuse, and automated form submissions.
- Honor unsubscribe, deletion, and privacy requests.
- Meet security, legal, and compliance obligations.
We use your information only for these purposes. Where a legal basis is required, we rely on your consent, our legitimate interest in operating and protecting The Field, and legal compliance.
How we store and process it
Your signup record is controlled by VAREN. We use a limited set of trusted service providers to operate the site, protect the signup form, store records, and send email. These providers may process limited personal information only as needed to perform services on our behalf, under contracts that require them to protect your information.
The categories of service providers we rely on:
- Hosting and content delivery. Our site, application functions, and bot-protection layer operate on globally distributed infrastructure.
- Master record storage. Your email, consent record, and verification status are stored in a structured content database.
- Internal review. A read-only mirror of new signups is maintained in our internal workspace so the team can see the day’s entries without exporting data.
- Email delivery. A transactional email service sends your verification message and any future updates.
- Operational monitoring. Lightweight, privacy-respecting monitoring tools watch for outages and JavaScript errors. These tools do not receive your email address.
We do not sell your personal information. We do not rent, trade, or share your email for advertising. We do not use advertising pixels or third-party behavioral tracking. We do not use cookies for marketing.
Access to signup records is restricted to people and systems that need it to operate The Field, maintain compliance records, prevent abuse, or honor your preferences.
Cookies
We set only the cookies the Field needs: session, security, and your notice choice. vf_session keeps verified members signed in to The Field for 30 days at a time. vf_cookie_notice remembers that you dismissed the cookie notice. Cloudflare sets a short-lived security cookie on our forms to tell real visitors from bots. No analytics cookies, no advertising cookies, no cross-site tracking. Email delivery
We use an email service provider to deliver messages on our behalf. That provider processes your email address only as needed to send VAREN messages, manage delivery, and support unsubscribe functionality. Every marketing email carries a one-click unsubscribe link in the footer.
Security and bot protection
We use site-security tools to help distinguish real signups from automated abuse. These tools may process normal request-level metadata, such as IP address, browser signals, and user agent, for security and fraud-prevention purposes. We do not use these tools to build advertising profiles.
International data transfers
Some of our service providers operate in the United States. When personal data is transferred across borders, we rely on appropriate safeguards, such as data processing agreements and standard contractual clauses where required.
How long we keep it
Retention depends on the state of your record:
- Unconfirmed entries. If you submit your email but do not confirm via the verification link, we retain the entry for up to 90 days. After that, the unconfirmed record is deleted automatically.
- Confirmed entries. If you confirm your entry, we retain the record for as long as you remain in The Field.
- Unsubscribed entries. If you unsubscribe, we mark your record as
unsubscribedand stop sending messages immediately. We retain a minimal suppression record (your email plus the unsubscribe timestamp) for as long as needed so we can prove we honored your request and avoid contacting you again. - Audit log. We keep an append-only audit record of state changes (create, verify, unsubscribe, delete) for one year, then prune.
You may ask us to delete your record at any time, subject to records we reasonably need to keep for legal, security, or compliance purposes. See Your rights below.
Your rights
Wherever you live, you may exercise these rights with respect to your record:
- Access. Ask us what we hold about you, and we will tell you.
- Correction. Ask us to update or correct your record.
- Deletion. Ask us to delete your record entirely.
- Portability. Ask us for a copy of your record in a common machine-readable format.
- Withdrawal of consent. Revoke any consent you previously gave. Unsubscribing is the simplest form of this.
To exercise any of these, write to info@varen.com. We respond within a reasonable period, and within the time required by applicable law. Depending on where you live, additional rights may apply under local law, and you may also lodge a complaint with your local data-protection authority.
Unsubscribing
Every marketing email carries a one-click unsubscribe link. You may also reply to any VAREN message with the word unsubscribe, or write to info@varen.com. We process requests promptly.
Children
The Field is intended for adults. We do not knowingly collect data from anyone under 16. If you believe a child has signed up, please write to info@varen.com and we will remove the record.
Map data
The location map shown on VAREN.com is built on map data from Mapbox and OpenStreetMap contributors, with VAREN's visual styling applied on top. When you view the map, your browser requests map tiles from Mapbox, which receives standard web-request data such as your IP address.
Changes to this notice
We may update this notice as our practices evolve. Material changes will be reflected in a new last updated date below, and where appropriate we will notify The Field by email.
